CALL TO ORDER:                 The President welcomed everyone in attendance and called the meeting to order at 5:09 PM. 

 

MINUTES:                              Minutes of the June 18, 2009 Board Meeting were reviewed.

 

A motion was made and unanimously carried.

VOTED:  to approve the June 18, 2009 meeting minutes.  The minutes were approved as submitted.

 

TREASURER’S REPORT:       Monthly financial summaries for June 1 through June 30, 2009 and July 1 through July 31st, along with year-to-date figures, were distributed and reviewed.  The Treasurer also distributed the 2009 Tournament Report.

 

                                                The overall winner of the OSWGA Memorial which was held at Louisquisett Golf Club on July 6th donates a portion of the proceeds to her favorite charity.  A “thank you” letter was received from the Big Sisters organization regarding the donation they received. 

 

TREASURER’S REPORT:

(continued)                               Letters were sent to five Scholarships recipients who were awarded the amount of $1,000 each.  Copies of the recipients’ names and where they are attending school were provided to the Providence Journal and the Ocean State Golf Magazine.

 

Free tournaments to Board members were discussed.  The first 25 tournaments are free to all Board members.  If anyone plays more than that amount of tournaments, they are to incur the cost of the entry fee.

 

Some entry amounts are incorrect when members are submitting checks for male/female events.  At Montaup Country Club, there were over twenty checks submitted incorrectly. The male player pays the same amount as the member fee and not the non-member/guest fee.  Next year’s book will state such.

CHAIRPERSONS’ REPORTS:

                       

Tournament Chairperson:          Reports were submitted detailing recent tournaments – Laurel Lane Country Club held on June 22nd, Crystal Lake Country Club held on June 29th, Louisquisset Golf Club held on July 6th, Cranston Country Club held on July 14th, Exeter Country Club held on July 28th, Montaup Country Club held on August 3rd, Pinecrest Golf Club held on August 10th, Green Valley Country Club held on August 17th, and New England Country Club held on August 25th.

 

                                                At the OSWGA Mixed Event held at Cranston Country Club, we had one male player who played at scratch since we could not verify his handicap.  Scoring was difficult due to the fact that many teams did not circle the scores they used.  In the future, cards that are not scored properly will be given back to the players to be corrected.

 

                                                At the RI Women’s State Ryder Cup held at Montaup Country Club, one player was DQ’d for use of a cell phone while on the golf course and two couples were given a two stroke penalty for teeing off on the wrong hole.  Sample score cards were given out and there were only a few cards that needed correcting.  We will continue to provide sample scoring cards for complicated formats.

At the RI Women’s State Amateur Championship held at Exeter Country Club, there was a change in tee times on Wednesday from what was posted at the golf course Tuesday afternoon.  As a result, some players were late.  Players who arrived early were allowed to tee off out of turn to allow for those players who were not aware of the change of time.  One of the players in the last group missed the 1st hole and, unfortunately, lost that hole.  Although the tee times were correct on the website, not everyone was aware of the time changes.  In the future, if this happens again, we should telephone all players involved. 

           

Due to a change in date and day of the RI Women’s State President’s Cup held at Green Valley Country Club, only two teams withdrew prior to the tournament due to other commitments.

 

                                                At the RI Women’s State Round Robin held at New England Country Club on August 25th, some players took six hours to finish their round.  This could have been due to having groups in front of them not related to our tournament.  Play was slow due to the public and NECC members as they were allowed to tee off on holes 2 through 5 in between our event.  Since we did not have a full field, this was an agreement made by the Tournament Director and the course management.  Hopefully, next year we will have more participants.  Also, many cards were calculated incorrectly.  We will try and improve on the sample card next year.  There were a few rules questions on the golf course that were handled.

 

Handicap Chairperson:             The Handicap Chairperson has been posting scores from all eligible tournaments and it seems to be working well.  Some players had posted their own scores, but the Tournament Director was able to remove the duplicated score.

 

                                                Some players who question their handicap don’t realize that tournaments are at 80%.  Also, a handicap was questioned at one of the tournaments and the Handicap Chairperson explained that handicaps are established as of the closing date of each tournament.  The issue was resolved.

 

Handicap Chairperson:

(continued)                               Pairings and divisions were discussed.  Also discussed were single digit handicap players playing in the Championship Division no matter what their partner’s handicap.  This is due to the formats played in these events.  Next year, the OSWGA Handbook will state as such.

 

Scholarship:                              This position was discussed and it was determined that the position may not be needed.  The Tournament Director receives the application that sends it to the Treasurer and then is brought to the Board for approval.  The Treasurer has a list of high schools whose Guidance Departments should be notified which is not being done now.  Guidance Counselors can be emailed to see what procedures they have in place or what we need to provide them.  If this position is eliminated, the change needs to be reflected in the By-Laws.

TOURNAMENT

DIRECTOR’S REPORT:        

Due to participation, the OSWGA Team Event–4 to be held at Midville Country Club will have only an 8:00am shotgun and not a double shotgun.  Last year at this event, we ran out of food, so we have taken care to make sure there is enough for everyone.

 

The Tournament Director received a call from the Pro at Agawam Hunt asking us to hold a tournament there this year.  We have a really tight schedule, but the Tournament Director will look into this further.

 

The Tournament Director has been working on next year’s schedule and all courses are pretty much set. 

 

TOURNAMENT

DIRECTOR’S REPORT:

(continued)                               The RIGA has offered to help in running the “Tournament of Champions” tournament next year.  The Board agreed this would be helpful.

OLD BUSINESS:                    The Board decided to table the By-Laws revisions until the winter months. 

 

NEW BUSINESS:                   In the past, we have approved for $500 to be awarded to the OSWGA representative for the USGA Women’s State Team Championship event.  The RIGA pays for hotel and airfare; however, this money is to help defray her cost.  This amount was again approved by the Board.

 

Points need to be updated due to past scoring errors.  This will be taken care of. 

 

The Nominating Committee is working on upcoming elections for positions that will be open:  Vice President, Recording Secretary and Correspondence Secretary.  These positions are to be voted on at the Annual Banquet.  The last day for response if any member is interested in running is September 26th.  We will then need to do the letter to the membership and also meal choices.  It was asked if the time of the Banquet could be held earlier than 6:30pm.  We will check with West Valley Inn to see if this can be done.

 

The Publicity Chairperson has been sending out news to the media, but the OSWGA still hasn’t received any coverage from the Providence Journal.  Even the four day event for the RI Women’s State Amateur Championship wasn’t covered.  Letters have been sent to the Providence Journal regarding this and some personal subscriptions cancelled.
